Terms & Conditions
These terms set out the agreement between MJ Films (trading as South Wales Video) (“we”, “us” or “our”) and the Client (“you”). By booking our services, you accept these conditions.
Booking & Payment
A booking is confirmed once we receive the 50% deposit. The deposit secures your date and is non-refundable except where required by law.
The remaining balance is due before delivery of the final video (or before the event date if specified in the quote).
Late payments may incur interest at 8% above the Bank of England base rate per annum until settled.
Cancellations & Rescheduling
Client cancellation:
- More than 8 weeks before the shoot date: only the deposit is forfeited.
- Within 8 weeks of the shoot date: you will be liable for a cancellation fee that reflects our incurred costs, lost opportunity and preparation time (up to 100% of the total fee). We will endeavour to mitigate our losses and will provide a breakdown of any charges upon request.
Rescheduling: We will endeavour to transfer your deposit to one new date within 12 months, subject to availability. If we cannot accommodate the new date, the booking will be treated as a cancellation.
Our cancellation: If we are unable to provide the service due to illness, equipment failure, or circumstances beyond our reasonable control, all payments made will be refunded. Our liability is limited to the amount you have paid.
Delivery & Approval
Edited videos are supplied via a secure download link (or on USB if agreed in advance).
Up to three rounds of revisions are included, based on the agreed brief. Major changes outside the original brief may incur additional charges.
If we do not receive feedback within 14 days of supplying the draft, the video will be considered approved and the final master delivered.
Typical delivery times are 4–8 weeks for events and 2–6 weeks for corporate projects. These are estimates and may vary depending on workload and complexity.
File Storage & Backup
Final videos will remain available for download for 3 months at no extra cost.
After this period, files may be deleted unless you arrange extended storage.
Extended Storage Service: £95 per year for half-day projects £150 per year for full-day projects
This provides secure storage of project files for an additional 12 months and is renewable annually. If you choose not to renew, the files will be deleted to free up space.
Raw Footage: Raw footage is not supplied as standard. It can be provided on USB at an additional cost if agreed in advance.
Rights & Usage
We retain copyright in all footage and materials.
You are granted a licence to use the final edited video for your personal or agreed business purposes.
Any third-party use (e.g. broadcasters or commercial licensing) requires our prior written consent.
We may use short extracts or stills from the project in our portfolio and marketing unless you specifically request otherwise in writing.
You must ensure that any materials you supply (such as music, images or logos) are cleared for the intended use and do not infringe third-party rights.
Liability & Practicalities
Our liability for any loss, damage or failure to perform is limited to the total amount paid for the project.
We are not liable for indirect or consequential losses, or for any moments missed due to circumstances beyond our control (including venue restrictions, safety issues, or events outside our reasonable control).
It is your responsibility to obtain any necessary permissions or clearances at venues or locations.
We reserve the right to refuse to film in any situation we reasonably consider unsafe or unlawful.
Governing Law
These terms are governed by the laws of England and Wales.
