Terms & Conditions

These terms set out the agreement between MJ Films (also trading as South Wales Video) (“we”) and the Client (“you”). By booking our services, you accept these conditions.

Booking & Payment

  • A booking is confirmed once a 50% deposit is received. The deposit secures the date and is non-refundable.

  • The balance is due before delivery of the final video (or before the event date if specified).

  • Late payments may incur interest at 8% above the Bank of England base rate until settled.

Cancellations & Rescheduling

  • Client cancellation:

    • More than 8 weeks before the shoot – deposit is forfeited, no further payment due.

    • Within 8 weeks – full balance is payable.

  • Rescheduling: We will transfer your deposit once to a new date (within 12 months) subject to availability. If unavailable, the change is treated as a cancellation.

  • South Wales Video cancellation: If we cannot deliver due to illness, equipment failure, or similar, payments made will be refunded. Liability is limited to the amount paid.

Delivery & Approval

  • Edited videos are supplied via a secure download link (or USB if agreed).

  • Up to three rounds of revisions are included before final master delivery. Major changes outside the agreed brief may incur extra charges.

  • If no feedback is received within 14 days of delivery, the video is considered approved.

  • Typical delivery: 4–8 weeks for events, 2–6 weeks for corporate projects (varies with workload).

File Storage & Backup

  • Final videos remain available to download for 3 months at no cost.

  • After this period, files may be deleted unless extended storage is arranged.

Backup & Storage Service:

  • £95 per year for half-day projects

  • £150 per year for full-day projects

This covers secure storage of project files for an additional 12 months, renewable annually. Should you choose not to renew after the one-year period, your stored project files will be subject to deletion in order to free up space for other projects.

  • Raw Footage: Not supplied unless agreed in advance and may incur an additional fee. Raw footage can be mailed to you on USB (at extra cost) but will not be made available for download.

Rights & Usage

  • South Wales Video retains copyright of all footage.

  • Clients receive a licence to use the final video for personal or agreed business purposes.

  • Third-party use (e.g. broadcasters) requires written consent.

  • We may use extracts for our portfolio unless you request otherwise.

  • Clients must ensure any materials they supply (e.g. music, images) are cleared for use.

Liability & Practicalities

  • Our liability for loss, damage, or failure is limited to the amount paid for the project.

  • We are not liable for indirect losses or missed moments due to restrictions, safety issues, or events beyond our control.

  • It is the client’s responsibility to obtain any necessary permissions at venues.

  • We reserve the right to refuse to film in unsafe or unlawful conditions.

Governing Law

These terms are governed by the laws of England and Wales.
