PRE-PRODUCTION
The filming plan starts with the programme
We begin with the event schedule, venue rooms, stage layout, speaker list and final deliverables. This shows where fixed cameras are needed, where a roaming camera adds value and whether simultaneous sessions require additional operators.
For keynote and panel recordings, we agree the required camera angles and how sound will be captured. A feed from the venue system can be recorded alongside independent microphones or camera backups, helping protect important speeches and audience questions.
For event highlights, the shot list expands beyond the stage. Registration, signage, exhibition stands, networking, refreshments, audience reactions and venue details give the edit a proper sense of the day.
Interviews can be scheduled before doors open, between sessions or in a quieter room. We prepare concise questions and allow enough time for microphones, framing and repeated answers without delaying speakers.
Where slides matter, we can discuss presentation files, screen recordings or a clean feed in advance. Filming a projection screen alone is rarely the best way to preserve detailed content.

ICC Wales includes a large auditorium, exhibition space, meeting rooms and connected networking areas. Celtic Manor Resort adds conference suites, smaller meeting rooms, hospitality spaces and gala settings. The equipment and crew are matched to the rooms actually in use.
A fixed multi-camera setup is normally best for complete talks and panel discussions. A mobile camera or gimbal can then cover arrivals, exhibition activity, networking and atmosphere without disturbing delegates.
For events spread across more than one room, we can assign additional operators or prioritise selected sessions. The schedule should identify any overlaps, room changes and access restrictions before the day.
